Pre-construction is where that process begins. It is where client relationships are built, scopes are defined, and projects are positioned to succeed before a single permit is pulled. This role is central to that work.

About The Job

The Pre-Construction Coordinator supports the pre-construction phase of all incoming projects, from initial client engagement through the execution of the pre-construction agreement. This is a part-time, remote contract position with flexible scheduling, suited to a detail-oriented professional who thrives in a process-driven environment and communicates with clarity and confidence.

You will work directly with ownership and the operations team to manage client intake, coordinate estimating activities, maintain project documentation, and ensure the pre-construction process runs efficiently and reflects the Halsey Homes standard.

Responsibilities

Client Intake and Communication

  • Manage incoming project inquiries, gather scope information, and maintain organized records in HubSpot.
  • Communicate with prospective clients on behalf of Halsey Homes to set expectations, collect required documentation, and move leads through the qualification pipeline.
  • Coordinate initial consultations and follow-up communications between clients and ownership.
  • Draft and send pre-construction agreements, follow up on signatures, and track agreement status across active prospects.

Estimating Coordination

  • Assist in preparing and organizing pre-construction estimates within JobTread, including scope itemization, allowance schedules, and preliminary cost summaries.
  • Coordinate with vendors and subcontractors to gather pricing, confirm lead times, and keep estimate data current.
  • Maintain organized records of bids, quotes, and pricing history for reference across similar project types.

Documentation and Process Management

  • Maintain pre-construction project files including scopes of work, client selections, permit checklists, and communication logs.
  • Track pre-construction milestones across all active projects and flag items requiring owner attention or client follow-up.
  • Support the development and refinement of pre-construction templates, checklists, and client-facing documents as the company continues to systematize its processes.

Permitting Support

  • Compile permit application documentation and coordinate submission with the appropriate jurisdictional offices across Halsey Homes' service area.
  • Track permit status and communicate updates to the project team.
  • Maintain the company's permit requirements reference documentation for each county and municipality served.

Requirements

Required

  • 2 or more years of experience in residential construction, project coordination, or a related field.
  • Strong written communication skills with demonstrated ability to represent a professional brand in client-facing correspondence.
  • Highly organized with the ability to manage multiple active projects simultaneously without losing detail.
  • Comfortable working independently and managing your own workload in a remote environment.
  • Proficiency with cloud-based tools including Google Workspace or Microsoft 365, CRM platforms, and document management systems.

Preferred

  • Familiarity with residential construction sequencing, scope development, and the pre-construction process.
  • Experience with JobTread, BuilderTrend, CoConstruct, or similar construction project management software.
  • Working knowledge of HubSpot or comparable CRM platforms.

ENGAGEMENT DETAILS

  • Contract (1099) engagement.
  • Part-time
  • Fully remote. All work is conducted digitally via Halsey Homes' project management and communication platforms.
  • Flexible scheduling within normal business hours. Responsiveness during the workday is expected.
  • Compensation is hourly, commensurate with experience. Rate to be discussed during the interview process.
